Crafting an Effective AI Policy
Your agency is doing some really cool stuff with AI tools like ChatGPT and Midjourney. These tools are helping you boost productivity, enhance content creation, and provide efficient services. However, it's important to keep in mind that there are potential risks that come with using these technologies. That's where the AI Usage Policy I prepared comes in handy. It's all about promoting responsible innovation and making sure you're protected from those risks.
This Policy serves as a starting point that can be customized to fit your agency's unique needs. It's similar to the social media policies we implemented back in the days to minimize risks. Keeping policies short and precise is essential so that people actually take the time to read them. That’s why my sample AI Usage Policy below is about 1 page long.

A sample AI Usage Policy, designed to guide your agency's AI usage responsibly:
INTENT
The purpose of this policy is to establish guidelines for the responsible use of AI systems on behalf of [name of your agency].
SCOPE
This policy applies to all staff and contractors who use AI systems on behalf of [name of your agency]. It covers the use of AI tools for work-related tasks, both on-site and remotely.
DATA PROTECTION
To maintain confidentiality, ensure that identifiable information such as individuals, locations, and organization names are removed. In simpler terms, let’s use fake data instead. Employees should ask themselves this question, “Would we be comfortable sharing this information with the public?”
HUMAN TOUCH
Before any AI-generated content is shipped, it must undergo human review and receive approval. Employees are responsible for ensuring the factual accuracy of the content and its alignment with our clients' brand voice.
COPYRIGHT
Respect intellectual property rights, refraining from plagiarism or infringing on the rights of others.
REPORT MISUSE
Promptly report any instances of tool misuse or inappropriate usage to [contact person at your agency].
TRANSPARENCY
Maintain open communication with clients and disclose the use of AI tools in any work provided.
STATEMENT OF ACCEPTANCE
